Google Storage Limits

Overview

For K-12 organizations, Google has changed its policy of offering unlimited content storage.  KCS is now limited to a shared pool of Google storage. To keep within that pool limit, KCS-IT will implement changes that enforce new storage limits for KCS accounts. The changes start on January 31, 2025.  

 

How much storage will I have?

All staff will be limited to 500 GB.

All students will be limited to 250 GB.

(*These storage caps may be adjusted as Google implements future caps or storage costs.)

 
 

How much storage am I using?

To identify how much storage a KCS Google account is using, do one of the following:

  1. Navigate to https://drive.google.com/settings/storage while logged into your KCS Google account.
  2. Login to Google Drive and look for the cloud icon at the bottom of the left menu.
 
 

What happens when I'm over my limit?

Starting on January 31, 2025,  all KCS Google accounts will have the new limits applied.

When your KCS Google account is over quota, it means:

  • You can’t upload new files or images to Google Drive
  • You can’t back up any photos and videos to Google Photos
  • You can’t create new files in collaborative content creation apps like Google Docs, Sheets, Slides, Drawings, etc.
  • Until you reduce your storage usage, nobody can edit or copy your affected files
  • Note: You can still sign into and access your KCS Google Account
 
 

How can I reduce my Google storage useage?

This change impacts a small number of KCS accounts. The information below guides your next steps.

  1. Learn how to manage data stored in your KCS Google account.
  2. Delete older large files from Google Drive & Photos and empty the trash. (Deleted files remain in the trash folder for 30 days before permanent deletion.  You can regain your space sooner by emptying the trash.)
  1. Create a migration plan to move files to an alternate location such as your KCS Microsoft OneDrive.
