In July of 2025, ParentSquare implemented a new account switching feature that enables our school staff to have an easier experience switching between “Work” and “Parent” roles. Switching between accounts is simple, but first you must add your Parent or Work account by signing in again.
How it works
You can log in to and manage multiple ParentSquare accounts from a single device. Here's what you need to know:
- Log in: You can log in to more than one ParentSquare account on the same device. A "Switch Account" option will appear once you’re signed in to multiple accounts.
- Switch account: After logging in, you’ll be able to quickly switch between your accounts using a menu option. You’ll always see which account you’re currently using, along with its primary role and associated school(s). The exact location of this option may vary slightly depending on whether you’re using the web or mobile app.
- Add another account: To add another account, follow the prompts to sign in to another account. Once authenticated, that account will be added to your account switcher.
- Log out: You can log out of all accounts at once by using the "Log out" button.

Frequently Asked Questions
Do I still need to add an account if I use my staff email for both my staff and parent accounts?
Yes. Even if you use the same email address for both accounts, you still need to add another account.
This is because staff and parent accounts are now completely separate, even if they share the same email. After you’ve added your other account, you’ll be able to switch between roles easily—no need to log in again.
Why this might feel confusing: In other software platforms, you might be used to an experience where the platform only allows a single account per email address. ParentSquare allows multiple accounts for the same email address in order to accommodate the contact information on file in district student information systems.
Tip: If you’ve never logged in to your parent account before, click Forgot Password on the sign-in page to set it up.
I can no longer see my own children when I log in.
ParentSquare recently updated how accounts work to improve privacy and clarity, so staff and parent accounts are now separate. If you don’t see your children on your account, you'll need to log into your parent account as well.

Please know that
1. Even if you have the same email address as staff and parent, you will have two separate accounts in ParentSquare.
2. You can use the same password to log in to your parent account.
3. If you aren’t sure what your password is because you use SSO or have multiple parent emails, you can click Forgot Password? after you click Add another account.
How do I add my own children to my staff account?
With the recent update, your children can only be added to your parent account, not your staff account. To see their information, just add your parent account and switch between roles as needed:
- Click your name in the top right. (On mobile, tap the triple bars and then Switch account under your name).
- Select Add another account.
- Sign in with the same email you use for your parent account. Please note that even if you have the same email address as staff and parent, you will have two separate accounts in ParentSquare.
First time logging in to your parent account?
- Click Forgot Password on the login screen to get a link via email or text. This will help you set your password and access your parent account.
After your parent account has been added, you can switch between staff and parent views with just a tap from the account menu.
Will I receive multiple emails and texts now that my accounts are separate?
No, not necessarily. Here’s how it works:
If your staff and parent accounts use the same email address and phone number, and a message is sent to both roles (e.g., staff and parents), you’ll receive only one email or text. ParentSquare recognizes the shared contact info and avoids sending duplicate notifications.
However, if your staff and parent accounts use different emails or phone numbers, you will receive separate messages for each role, as long as your notification settings are configured to allow email or text delivery on both accounts.
Tip: You can review and customize your notification preferences under Account > Notification Settings for each account.
I switched to my parent account, but my previous direct messages are missing. Where did they go?
When your staff and parent accounts were separated, all of your past direct messages were moved to your staff account.
When the messages for both roles were combined in a single account, your messages as a staff member couldn’t be distinguished from your messages as a parent. To keep any sensitive or school-related messages private, all of your messages were moved to your staff account.
You can still see your old messages by switching to your staff account. From now on, the messages you send from each account will stay separate, so it’s always clear who you’re messaging as.

Will I miss messages from my child’s school if I forget to switch to my parent account?
You won’t miss any notifications, even if you forget to switch accounts. You’ll still receive all emails, texts, and app notifications based on your notification settings, even when you’re not logged in to either account.
That said, there is a change in how you view messages inside ParentSquare:
- If you were already used to switching schools—for example, because your children attend a different school than where you work—this experience will feel familiar. You’ll continue switching between views as needed.
- If you were a staff member and parent at the same school, your feed used to be combined. Now, your parent and staff views are separate, so you’ll need to switch accounts to see parent-specific or staff-specific messages in your feed.
Switching between accounts is quick and easy, and you’ll continue to receive all important information.
Can I be logged into different accounts on different devices?
Yes, you can choose to log in to different combinations of accounts on different devices. For example, you might be logged into accounts A, B, and C on your computer and accounts A and B on your mobile device.
How can I manage multiple parent accounts?
Users with multiple parent accounts can still merge them together. To learn more about which accounts can be merged, see Missing a child or school (combine/merge accounts).
I’m unhappy with this change. Can I have my staff and parent accounts merged again?
We understand that a merged staff-parent account provided a simple login experience. However, please know that while merged accounts worked for some, they also caused significant challenges around privacy, clarity, and personal boundaries.
Here are some of the key reasons behind this shift:
- Better privacy: Some staff shared their login with a spouse for access to parent information, which unintentionally risked exposing sensitive information. Now, each role has its own secure login.
- More clarity: Each role is now clearly identified in the messages you send. Before, it wasn’t clear if messages were sent as a staff member or as a parent.
- Work-life balance: You can now manage notifications separately and set office hours to avoid late-night alerts.
- Ease of switching: You can switch between roles with one tap without logging out and back in.
