Cloud based copier printing.

Use this guide to prepare for using UniFlow-enabled copiers starting in the 26 - 27 school year.

KCS has partnered with UniFlow Online, our new secure printing and scanning solution on district-provided copiers.  This will provide a consistent experience for all staff across all of our locations and include many new features, including:

  • Securely send jobs to UniFlow 24/7 from anywhere. 
  • No more worries about someone else looking at or picking up your documents.  Print jobs are held until you release them at the copier.  (Unclaimed print jobs are deleted after 7 days.)
  • Using your KCS Badge, Pin #, or mobile device, securely print from any copier in any of our facilities.
  • Scan to and Print from your Google Drive or OneDrive.
  • Scan to your or another email address.
  • Print from a mobile device

Getting Started - UniFlow Account Setup

Preparation by the KCS IT dept. is required before you begin.

The KCS IT team will create a UniFlow account for you.  Watch or search for a welcome email from noreply@knoxschools.us.uniflowonline.com.  This will include your PIN# for the copiers.  

Windows Computers: KCS IT will push the UniFlow Smart Client to your device.  

Mac Computers:  Users will need to install the UniFlow Smart Client from Self Service.  Search Uniflow or look in the Printers category to locate the installer in Self Service.

Connecting your UniFlow account to other KCS services.

Once you have an account, visit https://knoxschools.us.uniflowonline.com to access your UniFlow portal.  From there, under notifications, you can tie your UniFlow account to your:

  • Google Drive
  • OneDrive
  • Email

  • Go to the nearest copier and scan your KCS badge over the badge reader.

  • Enter your UniFlow PIN# and tap ‘Register’ when prompted.

  • Swipe your badge once more to confirm.

 
 
 
 

Printing to a UniFlow enabled copier

 

Printing to a UniFlow enabled copier is very similar to any other printer.  But first, check that the UniFlow Smart Client (driver) is installed on your computer.  This icon (Mac) or (Windows)  will appear near the clock on your device.

  • From any document or file, select the print menu.  
  • Look for and select ‘KCS Cloud Print’ from the list of available printers.
  • Select your copy quantity and related choices and click ‘Print’.

First Time Users:

  • On first print, you may be prompted to sign in to UniFlow.
  • On first print with each application you use, review the print dialogue box carefully for the paper size.
    • It may default to A4 size instead of Letter.  Once Letter is selected, that application will remember that size for future print jobs.

UniFlow Mobile App

The UniFlow mobile app is not required.  However, some users may find value in its features.  Search forin your device's app store to:

  • View your printing activity at a glance.
  • Send a file or photo from your device to UniFlow to print.
  • View past & pending print jobs.
  • Print pending print jobs from your device without logging into the copier with a badge or PIN#.
 
 

FAQ's & Troubleshooting Tips

I printed to ‘KCS Cloud Print’, but the document isn't in the copier queue.

Before submitting an IIQ ticket for help, try these solutions first:

Is the UniFlow Smart Client active on your computer?   This icon (Mac) or (Windows)  will appear near the clock on your device.

Restart the UniFlow Smart Client by right-clicking the icon and selecting ‘exit’ or ‘quit’.

Then, search for UniFlow Smart Client in your computer's applications to restart the application.

Once the application is restarted, reattempt to print your document.

 

Search for UniFlow Smart Client in your computer's applications & start the application. 

If unable to locate it on your computer,  install it from Self Service (Mac) or System Center (Windows).

Once installed, reattempt to print your document.

 

 

 
 

The copier keeps looking for the wrong size paper (A4).

Each of your computer's applications (Word, Chrome, Outlook, etc.) stores the last selected paper size.  On first print with each application you use, review the print dialogue box carefully for the paper size.  It may default to A4 size instead of Letter.  Once Letter is selected, that application will remember that size for future print jobs.

 
 

How do I get my PIN# if I forget it?

Use any of the following strategies to recover your UniFlow PIN.  NOTE: KCS IT can not retrieve or see your PIN#.

  • From any copier, tap ‘forgot my pin’, enter your KCS email address, and check your inbox.
  • Search your email inbox for messages from: noreply@knoxschools.us.uniflowonline.com .
 
 

Can I change the filename on my scans?

On the copiers, selecting the 'scan to myself' choice does not allow the user to change the file name.  However, you can name a scanned file if you use the ’scan to email’ or ’scan to Cloud’ options.  We recommend using a destination folder in your cloud drive instead.  Then send all your scans there.  You will be able to rename them either on the copier screen or on your computer.

 
 
 

I scanned a large document to email, but never received it.

Both UniFlow & our KCS email accounts have a 25MB attachment limit.  For large documents, try:

  • Splitting up your document into smaller chunks by scanning fewer pages at a time.
  • Use the scan to Google Drive or OneDrive options and share the file from those cloud tools.
 
 

What if there is no internet?

Just like regular printing, if there is a network disruption, your documents will have difficulty reaching their destination.   However, UniFlow enabled copiers can operate in a limited fashion until connectivity is restored.

When there is a connectivity issue, the copier will display:

Choose the “Reduced function login” button to login and operate the device as a standalone copier.

 
 

Can someone else release my print jobs?

UniFlow holds an individual's print jobs securely until they can visit a copier and release them.  However, you can also choose to delegate or ‘hand over’ your print job to another KCS colleague by following these steps.

  1. Go to the UniFlow portal at https://knoxschools.us.uniflowonline.com and locate your print queue.

  1. Select the print job you want to delegate and click the Hand over button at the top right of the queue window.

  1. Search for and select the user you want to delegate that print job to.  The job will disappear from your queue and appear in the delegated user's queue to release from their login.  That user will also receive an email notifying them that a print job has been delegated to them.
